Position Description

Provides support to the Portfolio Manager, Program Manager, team members and clients. Provides assistance to the program management team to achieve program goals and objectives, including technology transfer, communications and outreach support. Primary job duties require exercising discretion and independent judgment with respect to matters of significance to the business. Duties may also involve working directly to support business operations and may include efforts on behalf of customers.

ATI's standard business hours are Monday-Friday, between 8 AM - 5 PM.

Our office is located at 315 Sigma Drive, Summerville, SC 29486. Flexible work hours may be available once fully trained.


Essential Functions
Assists Program Managers with planning and execution of customer programs. Handles frequent contact within and outside the company on significant matters requiring tact, persuasion and negotiation skills.

Traditional professional office activities, including internal and external team communications, meeting preparation, process execution, and improvement.

Significant data entry and electronic communications

Support new program with long-term process development and management.

Represents the company in contacts, inquiries from general public, other public or private agencies or organizations.

Manage calendar for Manager and maintains team and company calendars; identifies and resolves potential scheduling conflicts.

Requisition and obtain meeting registrations, memberships, supplies, materials, equipment and services for business unit and program requirements.

Arranges meetings, conferences, video conferences, and telephone conferences, including equipment prep and testing, attendance tracking, room setup and catering, preparation of agendas and presentation materials.

Assists in the development of, and provides support for, meetings and workshops.

Manage travel for staff: Obtains travel authorization, secures accommodations, justifies any charges in excess of per diem, identifies unallowable costs, selects transportation, tracks canceled prepaid airfare, completes expense vouchers and maintains travel records in accordance with FAR and provides documentation during audits as requested.

Development and maintenance of websites to communicate program information to the public and team members including development, updating, posting of documents and deliverables, maintaining access and password lists, e-mail lists and links to other sites.

Coordinates program presence at tradeshows: Prepares and produces informational materials: Contract for booth space and services; Staff booth or assist with coordination of team member staffing; Prepares and distributes various brochures, posters, press releases and other informational material.


Coordinates and consolidate input from various team members to produce documents, briefings, and project deliverables.

Prepares and distributes correspondence, reports, technical documents and minutes.

Manages customer and distributed team member network including creating/maintaining databases, e-mail lists, alias addresses and contact V-cards in the public folder including key contacts to improve organizational operating efficiency.

Create and manage various databases for programs in the business unit.

Establish and maintain network of outreach contacts. 


Additional Responsibilities

Directs the file plans for all business unit records – electronic and paper including draft and version control, archiving and back-ups

Provides general administrative support to business unit team members as needed.

Trains new associates on company-wide policies and procedures.

Trains business unit staff on systems, procedures and tools specific to business unit.

Assists with tracking specific budget items as assigned.

Assists with production of proposals.

Performs other duties as assigned. 

Qualifications

Bachelor’s degree and two years’ related experience, or one year of observed proven, directly relevant experience; Associate’s degree and four years’ related experience; or high school diploma and six years’ related experience.

Strong computer skills, including MS Office Suite.

Experience communicating with co-workers in meetings and workshops.

Experience preparing reports and documents, using word processing, presentation, and spreadsheet software tools.

Demonstrated experience and skill at business writing, editing and formatting documents, and preparing presentation materials.

Experience working as a member of a team of people engaged in tasks requiring teamwork and performance to schedules.

Ability to travel at company discretion; as much as 10% of travel is needed

Must successfully pass a background to access sensitive information and automated systems.

This position is located in an air-conditioned, environmentally controlled atmosphere, and occasionally attend meetings in technology company environments.

Noise level in the work environment is usually moderate.
